Clients & Automated Report Management

Manage your clients, organize their websites, and automate report delivery without manual work.

Written by Surya

Siteligent's Client Management features help you keep client websites organized and connect them with the right contacts. Once a website is associated with a client, you can use that relationship to simplify site management and automatically deliver reports to the appropriate recipients.

Managing Client Profiles

Client profiles give you a central place to store the information you need to manage communication for each client.

A client profile can include:

  • First name and last name

  • Primary email address

  • Company name

  • Phone number

  • Additional recipient email addresses

  • Address

  • Notes

  • Tags

  • Custom fields

Additional Report Recipients

You can add up to 10 additional email addresses to a client profile. These can be useful when multiple people at the same company need to receive reports, such as:

  • Business owners

  • Marketing managers

  • Administrative staff

  • Technical contacts

When automated reports are sent to that client, the additional recipients can receive copies automatically.

Assign a Website to a Client

You can associate each connected WordPress site with a Client profile. To assign a site:

Options 1:

  1. Go to Clients Page.

  2. Select Add Client, and choose the existing Client.

  3. Click Assign Sites and the modal will appear.

  4. Select the speific sites

Option 2:

  1. Go to Sites in your Siteligent Dashboard.

  2. Select the website.

  3. Go to Settings → Site Details.

  4. Find Associated Client.

  5. Select the appropriate client.

  6. Click Save Settings.

Once associated, Siteligent can use the client relationship when organizing your sites and delivering reports.

Filter Sites by Client

Associating sites with clients also makes it easier to work with a specific client's portfolio. When you filter your sites by client, you can focus on the websites belonging to that client instead of searching through your entire list of managed sites.

This can be especially useful when you need to quickly check a client's websites, updates, backups, security activity, or other site information.

Automate Client Report Delivery

Once your clients, websites, and report templates are configured, Siteligent can handle report generation and delivery automatically.

The process works like this:

  1. The scheduled report run starts.

  2. Siteligent generates the report using the selected template.

  3. Siteligent identifies the Client associated with the website.

  4. The client's primary email and additional recipients are resolved.

  5. The completed report is sent to the configured recipients.

After setup, you don't need to manually generate and email each report.

Set Up Automated Reports for a Client

To set up automated report delivery:

1. Assign a Report Template

Go to Reports → Templates and assign the appropriate report template to the client's website. Configure the template with the branding, sections, and content you want the client to receive.

2. Enable the Report Schedule

Enable the report schedule in the template and choose how often the report should be generated. Available frequencies include:

  • Weekly

  • Monthly

  • Quarterly

You can also configure the appropriate day and delivery time for the scheduled report.

3. Connect the Client

Configure the report recipients using the associated Client profile. Siteligent can use the client's primary email address along with any additional recipient addresses you've added to the profile.

4. Select Your Custom Email Sender

If you're using a custom sending domain, select your verified sending domain as the Custom Email Sender for the report. This allows the report to be sent from your own business email address rather than a Siteligent email address.

For example: [email protected]

5. Save Your Configuration

Save the report template and schedule. From then on, Siteligent will generate and send the reports automatically according to your configured schedule and recipients.

Keep Client Information Up to Date

If a client's contact information changes, update their Client profile rather than changing recipients individually across multiple reports. This keeps the client information centralized and makes sure future automated reports continue going to the correct people.
