Client Reports, Custom Templates, & Maintenance Logs

Create branded client reports, customize what they include, and document the work completed on each website.

Written by Surya

Siteligent reports bring website performance, security, backups, uptime, updates, and other maintenance information together into a single client-facing report. You can customize the report structure, branding, email delivery, and maintenance information based on how you work with each client.

Report Templates

You can create Report Templates to control how your reports are structured and presented. Different templates can be assigned to different websites, making it possible to use different report formats for different clients.

Localization Settings

Each template can also have its own localization preferences, including:

  • Date format

  • 12-hour or 24-hour time format

  • Timezone

  • Report language (15+ Languages Supported)

This helps ensure reports are presented in a format that makes sense for your clients.

Choose Which Sections Appear

Report templates include a number of standard sections that you can enable or disable depending on what you want to show your clients.

Available sections include:

  1. Cover Page - Report title, tagline, and cover design.

  2. Welcome - A personalized introduction for the client.

  3. Executive Summary - An overview of the site's overall health.

  4. Site Information - WordPress, PHP, and other site details.

  5. Performance Metrics - PageSpeed results, response times, and Core Web Vitals.

  6. Security Analysis - Security scan results and security-related activity.

  7. Backups & Uptime - Backup activity and uptime information.

  8. Uptime Monitoring - Uptime metrics and monthly averages.

  9. Updates & Maintenance - Completed WordPress Core, plugin, and theme updates.

  10. Google Analytics - Traffic and visitor information when connected.

  11. Google Search Console - Organic search and query performance when connected.

  12. WooCommerce Metrics - Store performance and sales information when available.

  13. Closing Page - Your customized closing message and signature.

You can turn individual sections on or off and change their order within the report.

Add Custom Content

If you provide services that aren't covered by the standard report sections, you can add your own content.

Custom Content Sections

Add custom written content to an existing report section when you need to provide additional information or context.

For example, you could include information about an SEO audit, custom development work, or a hosting migration.

Custom Pages

You can also add up to 3 fully custom pages to a report template.

Each custom page can include:

  • A title

  • A description or subtitle

  • Detailed Markdown or HTML content

This gives you a way to document services or work that wouldn't otherwise appear in the standard report.

White Label Your Reports

If you use Siteligent's White Label features, your reports can be presented using your own branding. You can configure:

  • Your business or agency name

  • Custom logo

  • Brand colors

  • Report theme

  • Logo position

  • Custom cover content

You can also enable White Label for the template to remove Siteligent branding from supported report content.

Send Reports From Your Own Email Address

Client reports don't have to be sent from a Siteligent email address.

You can configure a verified sending domain and select it in your report template. Reports can then be sent from your own business email address, such as: [email protected]

Before using your own sending address, you'll need to verify your domain by adding the DNS record provided by Siteligent.

Once the domain has been verified, your client reports can be sent using your branded email address.

Customize Report Emails

You can customize the email that accompanies your client report.

Subject Line: Create custom subject lines and use dynamic information such as the reporting period and website domain. For example: Your [[period.type]] report for [[site.domain]]

The dynamic values are replaced automatically when the email is sent.

Call-to-Action: You can also customize the email's call-to-action button, including the button text and destination URL. For example, you could use: View Dashboard and send clients directly to your own client portal.

Add an Email Signature: Reports can include a branded email signature at the end of the message. You can configure:

  • Logo

  • Logo width

  • Name

  • Job title

  • Company name

  • Phone number

  • Website

  • Signature layout

Two signature layouts are available:

  • Horizontal - A compact, side-by-side layout.

  • Vertical - A stacked signature layout.

Add Maintenance Logs

Maintenance Logs let you document work completed on a website. They're useful for recording work that may not otherwise appear automatically in the report, such as:

  • Custom code changes

  • Hosting optimizations

  • Visual or layout fixes

  • Other manual maintenance work

You can organize entries using categories such as:

  • General

  • Security

  • Update

  • Backup

  • Performance

  • Custom

Add Proof of Work

You can attach screenshots or other files to maintenance log entries.

This allows you to provide visual evidence of completed work directly within the client report.

Schedule Reports Automatically

You don't have to generate every client report manually. Report templates can be scheduled to run:

  • Weekly

  • Monthly

  • Quarterly

  • Manual for on demand reports

For scheduled reports, you can configure when the report should run, including the appropriate day and time.

Choose Report Recipients

Reports can be sent to:

  • Designated client records

  • Custom email addresses

  • Your Team Owner as a CC recipient

This allows you to automatically deliver reports to clients while keeping your own team informed.

AI-Generated Report Summaries

Siteligent also includes an AI Narrative Generator that can create an executive summary for the reporting period.

The generator analyzes available site information such as:

  • Traffic changes

  • PageSpeed performance

  • Security scan history

  • Completed updates

  • Other report telemetry

It then creates a summary describing how the website performed and what maintenance work was completed.

Choose the Writing Tone

You can choose between different writing styles depending on who will receive the report.

  • Client Tone keeps the summary friendly, business-focused, and easy for non-technical clients to understand.

  • Internal/Tech Tone provides more technical detail and is better suited for developers or internal teams.
